The Sophisticated Investor’s Checklist: What to Look for in Every Multifamily Deal

Seasoned investors know better than to fall in love with a pitch deck. A compelling narrative, polished images, and projected returns may catch your eye—but the real story lives in the numbers and the people behind the deal.

When it comes to multifamily investing, data is your best defense. Before you commit your capital, take the time to understand the key metrics that determine whether a deal is solid or speculative. This isn’t just due diligence—it’s how sophisticated investors protect and grow their wealth.

One of the first things to review is the net operating income (NOI). It’s the engine behind the property’s performance and tells you how much money the property brings in after operating expenses, but before debt service. Ideally, you’re looking for healthy, realistic NOI growth backed by real data—rent comps, market trends, and operational improvements—not wishful thinking.

Next, compare the capitalization rate (cap rate) to similar assets in the area. If a sponsor is justifying a high price with a low cap rate that doesn’t align with market norms, it’s worth digging deeper. Often, those deals depend on aggressive rent growth to make the numbers work.

Speaking of rent growth—look closely at those projections. Are they backed by trends in the submarket, or are they overly optimistic? A projected 6% annual rent increase may look good on paper, but if the surrounding area is seeing stagnant rents or a high volume of new supply, that return could vanish quickly.

Operating expenses are another key area to examine. The expense ratio, which shows operating costs as a percentage of gross income, can reveal a lot. If the ratio is unusually low, the sponsor may be underestimating future costs or overpromising efficiencies that haven’t materialized.

Financing is just as important. A strong debt service coverage ratio (DSCR)—ideally 1.25 or higher—indicates that the property can comfortably meet its debt obligations. Lower ratios may expose the investment to risk if market conditions shift. Equally important is the break-even occupancy rate, which shows how much vacancy the property can withstand before it starts losing money. The lower this number, the more buffer you have in a downturn.

Historical and projected occupancy rates matter too. If the property (or market) has struggled to maintain stable occupancy in recent years, take note. A vacancy problem is often a revenue problem in disguise. High unit turnover costs can also eat away at profits, especially if make-ready expenses, marketing costs, or tenant concessions aren’t accurately factored into the projections.

As a passive investor, you’ll want to understand your cash-on-cash return—that is, the actual income you’ll receive relative to your initial investment. This is often the clearest window into how a deal performs in real life, not just in Excel.

Pay close attention to the exit assumptions as well. If the sponsor expects to sell the property at a lower cap rate than the one used to purchase it, that means they’re betting on the market improving. Conservative underwriting, on the other hand, assumes cap rate expansion and builds in some margin for error.

Another often-overlooked metric is the reserve fund. Every deal should include a healthy allocation for future capital expenditures, unexpected repairs, and operational hiccups. It’s a simple but telling sign of how risk is being managed.

Lastly, take a hard look at the sponsor’s co-investment. When sponsors have their own capital in the deal, it sends a strong message: they’re aligned with you and have skin in the game. If they don’t, it’s worth asking why.

At the end of the day, great deals are built on fundamentals—not hope. If a sponsor can’t provide these metrics or explain them clearly, that’s your cue to walk away. There will always be more opportunities, but protecting your capital should be your top priority.

In a noisy market, clarity leads to confidence. And confident investors don’t just chase returns—they make smart, data-driven decisions.
